Connect and Network at AAOS 2025

We welcome your organization to convene at the 2025 Annual Meeting in San Diego, California. We recognize the importance of meeting face-to-face and encourage our exhibitors and affiliated organizations to connect and network during the AAOS Annual Meeting. To facilitate a seamless request and planning process, the following guidelines have been established.

AAOS must review and approve all meetings and events held during the 2025 Annual Meeting in San Diego including any off-site location.

  • Meetings & Events are permitted to take place around Annual Meeting education and exhibits over the following approved days and times:

    • Sunday, March 9: Anytime
    • Monday, March 10: Before 8:00 AM or After 5:30 PM
    • Tuesday, March 11: Before 8:00 AM or After 5:30 PM
    • Wednesday, March 12: Before 8:00 AM or After 5:30 PM
    • Thursday, March 13: Before 8:00 AM or After 5:30 PM
    • Friday, March 14: Anytime
  • AAOS Venues

    AAOS has secured meeting space at the following venues to host your event:

    • Marriott Marquis San Diego Marina: Headquarters Hotel
    • Hilton Bayfront: Co-Headquarters Hotel
    • Manchester Grand Hyatt: Co-Headquarters Hotel

    Due to limited space, AAOS is unable to provide meeting & event space at the San Diego Convention Center.

    AAOS will charge a non-refundable administrative fee at the time of submission for any meeting and event space request at any of the three headquarter hotels listed above.  The fees are charged per event, per day:

    • Exhibitors: $500
    • Non-profit: $350

    Note: There are no food and beverage minimum requirements at these three hotels, but you are encouraged to order catering in order to avoid any additional fees set forth by the hotel.

    Off-Site Venues

    Meetings and events taking place at an alternate location will incur room rental fees and/or food and beverage minimums set forth by that establishment. 

    • Any solicitation or industry sponsorship is prohibited.
    • Groups many not title meetings and events as “Annual Meeting or Educational Conference, Seminars or Workshops.”
    • Offering CME credit, apart from approved Specialty Day educational programing and official exhibitor education events, is prohibited.
    • Signage is allowed at the room entrance only. Overall signage dimensions are not to exceed 28” x 44”.
    • Meeting space request will only be approved for affiliated organizations, specialty societies, alumni groups, and confirmed exhibitors.
  • AAOS must review and approve all meetings and events held during the Annual Meeting including events at alternate hotels or off-site locations.

    Off-site Venue Meeting & Event Request Form

    1. AAOS reviews submissions to ensure each event meets guidelines.
    2. Off-site Meeting & Event Requests will receive and approval within one week of submission.
    3. For requests at a headquarter hotel, meeting space is assigned on a first-come, first-served basis. AAOS will attempt to accommodate all preferred location requests but cannot guarantee the location due to space constraints. AAOS will make every effort to assign the best available meeting space at the time of assignment.
    4. During the week of October 1st, AAOS will email meeting space confirmations and invoice for all events requested. A non-refundable administrative fee will be charged per event per day, as listed in the above Venues & Fees section.  If the invoice is not paid within 30 days of receipt, the meeting space will be released.  In addition, any events that are cancelled will not receive a refund for the administrative fees.
    5. Meeting space confirmations will contain the appropriate information to coordinate your event and finalize details.
  • Social Events

    Receptions, dinners, and other events where there is no educational programming nor a formal presentation on a company’s product or services to attendees are considered social events. If a social event is held in conjunction with an educational event, the event would be considered an educational event.

    Company/Staff Meetings

    Official Annual Meeting Exhibitors may hold staff-only meetings during AAOS educational sessions on non-Expo days. These meetings cannot include AAOS attendees unless the individual is an employee of the company holding the event.

    Exhibitor Educational Events/Satellite Symposia

    Educational Events/Satellite Symposia are events that include presentations, speakers, equipment demonstrations, procedural instruction, or focus groups. Only companies exhibiting at the AAOS meeting are eligible to present educational events/satellite symposia to AAOS attendees. Third party organizers must be designated by the exhibitor. These events may not conflict with the AAOS Scientific Program. AAOS does not provide CME accreditation for exhibitor education events.  Exhibitors wishing to provide credit for their education events will need to obtain credit from other accredited CME providers.  AAOS charges a non-refundable fee to exhibitors holding educational functions that includes access to AAOS attendees.

    $5,000 – 1 to 3 events with a total attendance of 150 attendees or less per event

    $7,500 – 1 to 3 events with a total attendance of 151 attendees or more per event

    The fee includes:

    • Approval of up to three (3) events
    • Listings in the Annual Meeting Mobile App and on the AAOS 2025 Annual Meeting website

It is the responsibility of the symposium organizer to market this event. Advance marketing is critical to attracting the appropriate audience.     Surgeon Engagement Opportunities

    Maximize your impact at the AAOS meeting by engaging surgeons through one of three dynamic presentation formats. Opt for Bioskills Workshops to provide hands-on experiences with your products, Industry Lunch & Learn Sessions for focused, in-depth presentations in a classroom setting, or Innovation Theater Sessions to showcase your latest innovations.     Hospitality Suites

    Hospitality suites are only available to companies that exhibit at the AAOS 2025 Annual Meeting. Requests for hospitality suites should be made through the AAOS Housing Bureau when sleeping room requests are made or at aaos@onpeak.com. Availability is based on hotel demand and current occupancy factors. Hospitality functions cannot conflict with AAOS scientific programming. 

    Exhibitor Suites

    A limited number of Exhibitor Suites are available on a first-come, first-served basis at the convention center. Located on the exhibit floor, suites are open during exhibit hours and are only available to exhibiting companies. The cost of an Exhibitor Suite is $4,500 per 10'x10'. Information for securing an Exhibitor Suite will be available on August 22, 2024.
